The role is responsible for supporting all aspects of document control within a project, ensuring systems, processes and reporting requirements for both internal and external clients are met by adherence to procedures.
Key tasks and responsibilities
Maintaining a comprehensive document control system, inclusive of field systems, to ensure the requirements of any specific project are met
Lead the implementation to upgrade the document control systems
Creating document templates
Converting information from project teams into user-friendly documents
Numbering and labelling documents for identification and reference
Scanning, copying and distributing documents to project team members and stakeholders.
Tracking documents to maintain confidentiality
Reviewing documents and making revisions for accuracy
Liaising with project team members to ensure documents meet requirements.
Training document specialists and other employees on document systems
Remain up to date with all company policies and procedures, industry legislation and guidance applicable to your subject field.
Responsible for assisting with archiving of project documents ensuring that retained information is in date and relevant.
Qualifications & Competency
Good level of experience in a Document Control role
Ability to convey and enforce Document Control services
Good understanding of Document Control applications, systems and processes
Attention to detail to ensure documents are accurate and made to specifications
Filing and organisation skills for document storage
Industry-specific technical knowledge, including understanding of industry terms, policies and processes
